Cancellation and Refund Policy

At Tulvi Event Management Services, we recognize that unexpected circumstances can sometimes disrupt event plans. We strive to ensure fairness and transparency when addressing cancellation and refund requests. Please review the policy below to understand your rights and responsibilities.

1. Cancellation Procedure
All cancellation requests must be submitted via email to inquiry@tulvievents.com.
We do not accept cancellations via phone calls, SMS, or other communication channels.

2. Cancellation Notice Period and Refund Eligibility
Refund eligibility depends on when the cancellation request is submitted. The following guidelines apply:

  • More than 100 days before the event: Full refund (100%).
  • Between 50 and 100 days before the event: 50% refund.
  • Between 10 and 50 days before the event: 25% refund.
  • Within 10 days of the event: No refunds.

Important Note:
Refunds will be processed after deducting any cancellation fees imposed by vendors/merchants, along with applicable GST or other statutory taxes.

3. Partial Cancellations
For partial cancellations (e.g., specific vendors or segments of the event), refunds will be processed based on the terms related to that service. Cancellation fees for individual vendors will still apply, as per their respective contracts.

4. Refund Process
Upon receiving your cancellation request, we will review it based on your specific contract terms and our general policies.
Refunds, if eligible, will be processed within 30 days from the approval date of your cancellation request and will be issued via the same payment method used for the original transaction.

5. Refund Exceptions
Certain exceptions may apply if your booking included special arrangements or customized services.
For contracts involving non-standard services (e.g., international vendors or high-demand venues), cancellation terms may differ.

6. Non-Refundable Fees
Some fees are non-refundable due to vendor contracts and other commitments, including:

  • Venue booking fees
  • Vendor payments (photographers, caterers, entertainers, etc.)
  • Applicable TDS/GST

7. Rescheduling Events
If you wish to reschedule your event due to unforeseen circumstances:

  • We will do our best to accommodate your request, based on venue and vendor availability.

8. Force Majeure
Melodia Event Management Services is not responsible for cancellations or delays caused by circumstances beyond our control, referred to as “force majeure.” These situations may include:

  • Natural disasters (e.g., floods, earthquakes, storms)
  • Acts of God
  • War, riots, or terrorist acts
  • Epidemics, pandemics, or quarantines
  • Changes in government regulations or laws
  • Communication or internet failures
  • General strikes or raw material shortages
    In such cases, we will work to find an appropriate solution for you.

9. Vendor Contracts
If a vendor or third party cancels their services:

  • The cancellation and refund process will be subject to the vendor’s contract and policies.

10. Customer Obligations
To ensure a smooth cancellation and refund process, customers must:

  • Provide accurate and complete details when submitting a cancellation request.
  • Keep all payment receipts and correspondence for reference.

11. Dispute Resolution
In the event of a dispute related to cancellations or refunds:

  • Both parties agree to pursue mediation or arbitration before taking legal action.
  • Disputes will be governed by the jurisdiction of Kerala courts.
